Job Description





We’re looking for a professional, energetic, dynamic individual to manage and provide leadership to the staff within the Office of the Registrar at NorQuest College.


Reporting to the Deputy Registrar, the Associate Registrar plans, organizes, and directs functions within the operational units of the Office of the Registrar (Data Processing and Enrolment) and supports and guides many of the processes within the student lifecycle.


This challenging role is responsible for operation, supervision, process improvement and direction of the registrarial operational functions. This position is needed to ensure the quality of service to our students and program areas. A good understanding of student information systems, (i.e. PeopleSoft Campus Solutions) also enables you to add to the effectiveness of this position. Your proven ability to influence and persuade others during times of change and growth within the College is an important aspect of this role. You participate as a member on various committees, and act as process improvement subject matter expert on projects. You communicate effectively with all levels of staff and management, including deans, chairs, senior executives, and external contacts and stakeholders, including government.


The role acts as a key change agent within the Office of the Registrar and throughout the College, particularly any processes that involve changes or additions to student services, or alterations to PeopleSoft Campus Solutions. Your registrarial expertise and understanding of the role of the Office of the Registrar makes your input necessary and invaluable to Faculties and program areas.


This position will appeal to an individual with a background in registrarial and student service related matters, who is a good decision maker with strong analytical, research and organizational skills. Your planning skills will ensure that business needs are met and the College continues to thrive and grow. Your superior communication skills will build and sustain a network of colleagues within the entire college as well as a professional group of colleagues across the province.




Unit Supervision and Management

  • Manage the performance of coordinators/team leads within the Student Data Processing and Enrolment units
  • Recruit and facilitate the training of new staff; support and facilitate ongoing training
  • Motivate, coach and mentor the team
  • Maximize the use of PeopleSoft Campus Solutions for operational effectiveness


Process Improvement

  • Continually identify, and implement opportunities for improvement to workflow, customer service, and data processing to maintain service levels
  • Influence major aspects of programs and projects
  • Develop policies and procedures that support College and student growth and development
  • Act as a change agent and/or subject matter expert in process improvement projects 

Strategic Planning

  • Formulate processes, projects, and plans to contribute to College business goals and departmental objectives
  • Identify, implement, manage and/or participate in Office of the Registrar operational projects, and College-wide initiatives to achieve College goals
  • Assess Office of the Registrar and College process effectiveness related to the student experience to recommend and implement changes
  • Ensures that student systems are meeting the regulatory requirements of such bodies as, Alberta Enterprise and Advanced Education, Human Services, FOIP, Human Rights etc.
  • Effectively liaise with external agencies including government and professional organizations.




  • Undergraduate degree required, graduate studies preferred. Combination of education and experience will be considered.
  • Five years of related management experience in a post-secondary environment, preferably as it relates to the registrarial function
  • FOIP and records management knowledge required
  • Exceptional interpersonal skills and the ability to communicate and multitask in a teamwork-based environment
  • Student information system knowledge (PeopleSoft Campus Solutions) an asset
  • Change management understanding and ability
  • Management experience in a post-secondary Registrar’s Office
  • Excellent and well developed oral and written communication skills
