Job Description





The Associate Registrar manages the Timetabling, Calendar, Convocation and Enrolment Planning functions, and is accountable for receiving, directing and translating strategic direction from the Deputy Registrar and providing operational leadership.


The Associate Registrar sets and communicates appropriate expectations for performance and behaviour from the staff in the different units and manages to those expectations to meet operational objectives.


This position is responsible for changes and enhancements to policies, procedures, and business processes involving the Timetabling, and Calendar units, Convocation planning, and the change management necessary to accomplish change. This position is also responsible for leading and managing upgrades, enhancements, and customizations that are affiliated with the development and maintenance of the timetabling software (TS) and any associated interfaces that impact the system (i.e. Moodle, PeopleSoft). This position is responsible for the maintenance, guidance and continuous improvement of the Office of the Registrar’s business process documentation as it relates to timetabling, calendar and convocation.


The role is the key liaison, negotiator, collaborator with internal clients, most frequently program chairs and associate chairs, managers, in the creation and adaption of processes to accommodate specific student populations or situations. This includes articulating business needs, developing processes, and roles and responsibilities of each unit involved in the activity.




Unit Supervision and Management

  • Recruit and facilitate the training of new staff; support and facilitate ongoing training
  • Motivate, coach and mentor the team
  • Maximize the use of PeopleSoft Campus Solutions for operational effectiveness


Process Improvement

  • Continually identify, and implement opportunities for improvement to workflow, customer service, and data processing to maintain service levels
  • Influence major aspects of programs and projects
  • Develop policies and procedures that support College and student growth and development
  • Act as a change agent and/or subject matter expert in process improvement projects


Strategic Planning

  • Formulate processes, projects, and plans to contribute to College business goals and departmental objectives
  • Identify, implement, manage and/or participate in Office of the Registrar operational projects, and College-wide initiatives to achieve College goals
  • Assess Office of the Registrar and College process effectiveness related to the student experience to recommend and implement changes
  • Establish or maintain internal practices and College procedures for the development and maintenance of security, records management, and enhancements to the SIS and TS, to ensure that they meet the internal needs of the College and the ever-challenging external requirements/standards.
  • Effectively liaise with external agencies including government and professional organizations.




  • Undergraduate degree required, graduate studies preferred. Combination of education and experience will be considered.
  • Five years of related management experience in a post-secondary environment, preferably as it relates to the registrarial function
      • Knowledgeable about the academic cycle and student lifecycle
      • Understand the functions within the registrarial units to support students and faculties
  • Student information system knowledge an asset
  • Exceptional interpersonal skills and the ability to communicate and multitask in a teamwork-based environment
  • Experience leading or managing a Timetabling system (Infosilem) would be considered a strong asset
  • Change management understanding and abilityManagement experience in a post-secondary Registrar’s Office
  • Excellent and well developed oral and written communication skills
