    The Executive Associate provides the full range of business administration and project support to the Executive Director, Workforce Development and Human Resources and the division as required. This position will require excellent organizational skills, decision-making capabilities, and relationship building skills with a range of stakeholders including the Executive team, staff, faculty, students, board members, and community members. This position requires a high level of learning agility, initiative and interpersonal skills.

     

    The position will play a key role in building and sustaining internal relationships as this position requires frequent and collaborative interaction with the Executive team and senior management leaders across the college.

     

     

    RESPONSIBILITIES:

    • Provides full range of business administration and coordination to the Executive Director and management team as required
    • Liaise with senior college staff and internal stakeholders
    • Drafts and/or edits correspondence, meeting materials, briefing notes, reports and maintains a comprehensive filing and Bring Forward system
    • Assists the Executive Director in coordinating and completion of project materials
    • Anticipates the Executive Director’s needs in meeting deadlines and preparing background documents as necessary
    • Manages the Executive Director’s calendar and follow up on action items, adjusts priorities and coordinates appointments with internal and external stakeholders
    • Organizes divisional events and administration of meetings including agendas and minutes as required
    • Review and analyze reports, studies and position papers and prepares draft briefing notes for the Executive Director
    • Keeps the Executive Director informed of issues or emerging trends
    • Assists in the preparation of materials for various committees
    • Organizes administrative process workflows such as vacation, travel, expense and expense claims

     

    QUALIFICATIONS:

     

    • A diploma is required, preferably in administration or business; Bachelor’s degree considered an asset
    • Minimum of 5 years of related senior administrative experience preferably within a Human Resources department.
    • Advanced experience with MS Office (Word, Excel, PowerPoint and Outlook) and PeopleSoft
    • Position must have general knowledge of Human Resources issues, initiatives, policies and procedures, Collective Agreements and FOIP legislation in order to respond to client queries in an appropriate manner
    • Excellent organizational skills.
    • Resourcefulness and strong ability to work independently with minimum of supervision; take initiative and be proactive in work approach.
    • Excellent interpersonal skills: ability to work collaboratively and build/maintain relationships with other stakeholders, including all levels of management, staff, external contacts and customers.
    • Attention to detail and strong ability to use independent judgement, discretion and diplomacy.
    • A high level of sound and independent judgement, reasoning, discretion and business acumen.
    • Positive attitude, strong team player and a high degree of personal professionalism.
    • Ability to maintain strict confidentiality at all times.
    • Ability to synthesize information quickly and exercise judgement in changing and politically sensitive situations.
    • Excellent planning, organizational, financial management, and project management skills.
    • Excellent written and verbal communication skills.
    • Advance knowledge of software (outlook, excel, word, PowerPoint and PeopleSoft).
    • Any related Human Resources experience is an asset.

     

    SALARY: LEVEL 8, Excluded: $58,681 - $75,225 per annum; commensurate with education and experience. This position also includes immediate participation in our comprehensive pension and benefits plan. This is a one-year cover position.
