    FACILITIES PROJECT COORDINATOR

    FACILITIES MANAGEMENT

     

     

    Reporting to the Manager, Facilities Planning and Projects, this position provides planning, design and project coordination functions for assigned renovation and infrastructure / building renewal projects. Through meetings and investigation, the position develops strategy, drawings and related documentation to assist clients/divisional staff in defining the intent, space requirements, functionality, and technical requirements. Upon approval of a final scheme and funding, the position is responsible to prepare or coordinate the development of construction drawings, specifications and tender documentation. The position is responsible to coordinate and communicate project design, construction and close-out activities with internal stakeholders, external consultants and contractors. The position shall communicate and follow college policies and department procedures/standards. Other responsibilities may include space planning, selection and requisitioning of college furnishings, and maintenance of facilities-related information databases, project estimating, and other duties assigned by the Manager, Facilities Planning and Projects.

     

    RESPONSIBILITIES:

     

    Assigned projects will include general Facilities-originated initiatives and infrastructure renewal projects to continually improve the condition of our facilities. Working with the client stakeholder and in consultation with the Manager, Facilities Planning and Projects to develop sketches/drawings of assigned projects to depict the general concept, space use, functional requirements.

     

    Prepare or supervise the preparation of necessary working drawings and specifications for tendering and construction of the project after approval of a defined scope/design by the client stakeholder /administration. The position maintains responsibility for technical accuracy and completeness of construction documents. On projects which are performed by external consultants, the incumbent acts as the Owner’s representative in communicating college/division standards and practices, and sources facility and program information as required.

     

    For assigned projects, provide construction supervision and coordination including clarifying construction documents during the tender period, conduct or participate in pre-tender and pre-construction meetings, initiate project change documentation, monitor and document project status, maintain complete project files, and inspect construction activities to ensure compliance with construction documents. Recommends payment and final acceptance of project work.

     

    Prepares project budgets, enters electronic requisitions on the college web-based financial system (PeopleSoft), inspects installations, and approves payment.

     

    Assists in prioritization of required major maintenance requirements and assists in the preparation of a four year Infrastructure Maintenance Program (IMP). Tracks progression of the execution of the college’s approved IMP plan and coordinates appropriate government reporting at prescribed time intervals, including entry of completed requirements on VFA (the Government of Alberta online deferred maintenance tracking tool).

     

    Other duties as assigned by the Manager, Facilities Planning and Projects, which may include general drafting, measuring and verification of space function and features, project estimating, etc.

     

    QUALIFICATIONS:

    • A minimum of 3 – 5 years’ experience in the buildings / construction / facilities management field with intermediate level experience in the production of design and construction documents for small projects.
    • Demonstrated experience in the participation and/or leading of project teams on small to mid-sized projects preferable in an institutional environment.
    • Effective written and verbal communication skills
    • Proficiency using current version of AutoCAD LT software is essential
    • Ability to effectively apply project management tools and techniques
    • Ability to effectively coordinate and lead the activities of consultants, contractors and manage stakeholder activities and expectations to achieve project objectives
    • Ability to effectively evaluate appropriate material and product selection to suit situation
    • Ability to develop feasible and logistical plans related to construction schedules (relating to other college activities and academic scheduling)
    • Ability to accurately provide quantity surveying and apply current unit rates
    • Knowledge of design and construction practices related to architectural, structural, mechanical/electrical elements and other building systems is essential
    • Knowledge of applicable building codes, standards and safety regulations
    • Knowledge and understanding of construction administration practices
    • Knowledge and ability to understand and apply college policies and divisional procedures/practices relating to procurement and tendering
    • Critical to be able to fully understand technical publications and web-sites relating to the availability and applications of various building materials and systems – cost implications of using incorrect materials or methods are significant
    • Detailed knowledge of construction industry best-practices
    • A thorough understanding of the duties, obligations and relationships of external design consultants, contractors and vendors

     

    SALARY: $59,380 – $77,106 per annum. This position also includes immediate participation in our comprehensive pension and benefits plan.
